Position Title:

Procurement Officer

 

JOB PURPOSE

To gather different prices from suppliers and ensure that this meets the requirement accordingly to the given schedule of procurement and project completion to ensure that quality and rate complies with the budget.

 

KEY ACCOUNTABILITIES

Description

Key Performance Indicators

Coordinate with the Production and Design Manager for the requested sample board to get approval of the samples from the client.

% of sample board delivered and approved

 

Consult the site-in-charge about their requirement to ensure that supplier would meet and supply the materials accordingly to the given schedule.

% of accuracy supplied against the ordered items based on the given schedule

To receive walk-in suppliers and evaluate their product to be presented to the Manager and Finance Controller if they are qualified to be a potential approved supplier of the company.

% for increase of qualified suppliers

Submit drawings to suppliers for inquiry and forward the quotation to Technical department to verify and confirm the given specifications and technical matters of the products/works.

%  of errors quote by suppliers against the given drawings

Gather technical data sheet of the materials to be presented to Design and Production Manager for approval.

% of data sheets gathered against the items

 

Prepare LPO in the Oracle System after Manager’s approval to process the final order of the materials.

% of error of LPOs prepared in the system

               

Follow up with the suppliers the requested materials for delivery on site in a timely manner.

% of materials delivered on required time

 

Participate in the certification audit whenever required to help achieve the QMS policies and procedures of the company.

Development of QMS policies and procedures

 

Assist the storekeeper on his requested information/ clarification from suppliers to help in the documentation of the project.

% of information gathered from the suppliers

Prepare a comparison list of required items of the project from the suppliers to get Manager’s approval on the items.

% of required number of quotations from suppliers

 

EXPERIENCE & QUALIFICATION

Minimum Qualification

Bachelor’s Degree in Business Administration or Certificate in any business course

Minimum Experience

Two years of experience in the same field
