Position Title:

Technical Assistance / Secretary

 

JOB PURPOSE

To provide range of secretarial and administrative services to ensure effective and efficient operation.

 

KEY ACCOUNTABILITIES

Description

Key Performance Indicators

Provide secretarial and administrative support to technical staff to help them in their submission of documents.

% of delays in the submission of documents

 

Prepare documents to submit to clients/ landlords/ DCD and DM for approval.

% of delays in the submission of documents

 

Collect and coordinate documents needed by technical staff to submit to client and/or keep on records for the respective projects.

% of collected and recorded documents

 

Handle incoming and outgoing correspondences of the company to provide proper information dissemination to concerned parties of the projects.

% of accuracy of information delivered, % of delayed information dissemination

 

 

Monitor document, drawing and material sample submittal and receipt procedure to provide accurate log information of the project.

% of errors in the log information against the submittals

 

Liaise with project team members to prepare technical submission to mall or client.

% of errors in submittal relative to inconsistent coordination

 

Keep track of all documents, correspondences and transactions to provide correct information on the projects

% of errors in providing correct information

 

Handle incoming calls, inquiries, daily mail and courier to provide assistance to the organization.

% of customer satisfaction

 

Maintain and update all document registers to provide correct information of the projects.

 

% of errors in the document registers

               

Coordinate the flow of collated communication both internally and externally as required to provide proper information of the projects.

EXPERIENCE & QUALIFICATION

Minimum Qualification

Graduate of a Secretarial course

Minimum Experience

2 years of secretarial job
